What is PoP Project?
Think of PoP Project's tasks as buckets of work (or 'sub-projects' - PoP stands for Project of Projects), where everything stays organized and boxed by responsibility. You can plan the project using the few tasks which cover the major responsibilities. Their details (incl. 'To Do' lists) can be captured in their Notes tabs. You can assign an owner to the project and each of its tasks.

Tutorial: How to Start using PoP Project Without Even Registering!
This tutorial is for all new users of PoP Project.
Test drive PoP Project
- Click the button, "Test Drive it" on the home page (www.mypopproject.com)
- PoP Project creates a temporary, unregistered project just for you
- Add tasks (ref. "Add tasks to your new project" below)
The project name will say, "unregistered". It means that while you can test drive the project, it will not be saved unless you register as a user. If you like it, do register yourself as a user (see "Register to use PoP Project" below).
Meanwhile you can refer to this help and try changing your project's name, uploading documents, writing notes, sending a message (you will see it but it will not go anywhere), and playing with the timeline. As an unregistered guest, you will not able to add or manage team members.
Be careful: your new project, its data, and any documents you upload will not be saved unless you register!
Tutorial: How to Register and Log in
This tutorial is for all users of PoP Project.
Register to use PoP Project
- Go to the 'Create an Account' page
- Provide your email and password
- PoP Project will send you an email with your temporary password
We recommend that you change the temporary password to one that you find safe, by clicking on the 'Profile' menu link.
Log in to PoP Project
Once you are registered, you can log in at any time by going to the log in page.
- Provide your email and password to log in
Reset password
In case you have forgotten your password, you can easily reset it on the log in page.
- Click the link, 'Reset it', and follow instructions
Tutorial: How to Set up and Manage a Project
This tutorial is for the project's owner (i.e. project manager).
Start a new project
Once you log in, PoP Project displays a list of your projects. On that page,
- Click the link, 'Start a new project'
- Enter the project's name in the dialog box
Add tasks to your new project
PoP Project helps you add tasks to the new project. Each task would have the same tabs as the parent project (except Timeline), i.e. Wall, Notes, Documents, Team, and Reminders. Each task is like a complete 'sub-project'. Though you could potentially add as many tasks as you wished, it would be helpful to plan the project using the few tasks which cover the major responsibilities. Their details (incl. 'To Do' lists) can be captured in their Notes tabs. This way, your new project would remain cleanly defined and efficiently manageable.
- After you enter the project's name, a dialog box appears, asking you to enter task names
- Enter the first task's name in the dialog box and click 'OK'
- The dialog box reappears; repeat entering task names
- When done, click 'Cancel'
You can defer adding tasks until a later time if you are not yet ready.
Group your tasks
Grouping of tasks helps to create an understandable work breakdown structure.
You can group tasks under a parent task.
- Drag each task below the desired parent
- Drag it right - it will indent itself
You can drag an entire group of tasks by its parent and make the parent some other task's child too.
Collapse / expand task groups
You can collapse a group of tasks to declutter the timeline. It is a visual collapse only, the tasks will not be deleted.
- Click on the 'V' arrowhead to the left of the parent of a group
- The child tasks will collapse into the parent
You can expand a group of tasks which was collapsed.
- Click on the '>' arrowhead to the left of the parent of the group
- The child tasks will expand out of the parent
Reorder tasks
It is convenient to manage tasks ordered top down by start dates. It is very easy to change the order of tasks.
- Drag the task up or down (hold it anywhere, or by its '=' handle on the left)
- Leave the task where you want it to be positioned
You can drag an entire group of tasks by its parent and move it up or down to reorder its priority.
Add or delete tasks
Add tasks to an existing project
- Click the link, 'Add Task' below the task list
- A dialog box appears
- Enter the task's name in the dialog box and click 'OK'
- The dialog box reappears; repeat entering task names
- When done, click 'Cancel'
Delete a task
- Hover over the left of the task's name on the task list
- Click the 'Delete Task' symbol
- PoP Project asks for a confirmation and then deletes the task
Set start and end dates
You can set the start and end dates of the project, or its tasks.
Set start date
- To set the start date, click the 'Starts on' date on the task list, and set it on the calendar which pops up
Set end date
PoP Project offers two ways of setting the end date of your project and its tasks:
By default, the end dates are not set, and shown as 'no end'. This means that the project or its tasks with no end date continue endlessly. The end of their time bar on the Timeline tab keeps moving with the vertical red line which signifies "today".
- To change the end date, click the 'Ends on' date on the task list, and set it on the calendar which pops up. The end of the time bar on the Timeline tab is set to be fixed at that date
- Alternatively for the project or task where the end date has already been set, click on the symbol next to the end date for 'Set No End Date'. This reverts the end date to 'no end'. The end of the time bar on the Timeline tab again keeps moving with the "today" line
Create a milestone
A Milestone is a point in time when a project is planned to achieve a specific goal. To set a milestone:
- Create a task corresponding to the milestone
- Set up its end date to be the date on which the milestone must occur
- Set up its start date to be 1 day before the end date
- PoP Project makes the task black, to mark it as a milestone
- You can otherwise treat the milestone as any other task, and manage information on its various tabs
Reorder Tasks
It is convenient to manage tasks ordered top down by start dates. It is very easy to change the order of tasks:
- Hover over the task's left hand side on the task list
- Drag it up or down by the '=' symbol
- Leave the task where you want it to be positioned
Update owners, administrators, and teams
At the time of creating a new project, you are the owner of the project and all its tasks. You can reassign ownerships, and also, assign administration rights to others. You can add team members to the project and to individual tasks. PoP Project assigns different authorities to each of these roles.
- Go to the Team tab of the project or its tasks
- Click the link, 'Who Can Do What?' to understand what each of these roles can do
Update a project's or task's owner
- Click the email id under the 'Owner' column of the task list
- A dialog box appears
- Enter the new owner's email id (be careful: you will lose certain rights once the new owner is established) and save
Add a team member to a project or task
- Go to the Team tab of the project or its tasks
- Submit the team member's email id
- PoP Project makes that person a team member
Make a team member an administrator
- Go to the Team tab of the project or its tasks
- Click the link, 'Grant Admin Access' against the email id
- PoP Project makes that person an administrator
Remove a task's team member
- Go to the Team tab of the project or its tasks
- Click the link, 'Remove From Team' against the email id
- PoP Project removes that person from the project or task
Edit notes
PoP Project's Notes feature is very useful. It allows you to write rich text notes for the project and each of its tasks. You can have various heading levels, bold, italicized, and underlined font; bulleted and numbered lists, hyperlinks, images, and tables in the notes.
- Go to the Notes tab of the project or a task
- Click the link, 'Edit Notes'
- Write your text and use the controls at the bottom to make the text look rich
- You may click the HTML link which opens an HTML editor, in case you intend to write any HTML code like inserting iframes etc. Click 'Update' when done
- Submit the notes entry
Delete project
- Hover over the left of the project's name on the task list
- Click the 'Delete Project' symbol
- PoP Project asks for confirmations and then deletes the project
Tutorial How to Work on a Project
This tutorial is for the project's team members and owner (i.e. project manager).
Mark a task complete
As your team finishes tasks, make sure you mark them complete. Marking tasks complete makes them show up in green.
- Hover over the task's left hand side on the task list
- Click the '√' symbol to mark the task complete (click it again to mark it incomplete)
PoP Project sends alerts for incomplete and completed tasks.
Upload documents with Smart Versioning
Documents can be uploaded from your computer and attached to the project or to a specific task, and so shared with the team.
- Go to the Documents tab of the project or a task
Upload a document
- Browse for the document you would like to upload
- Click 'Submit'
- Add a statement to help identify the document
PoP Project uploads the document with a date stamp, your email id, and the statement.
Smart Versioning in PoP Project
If you happen to upload another version of the document bearing the same name, it is placed above the previous version which appears indented, in smaller fonts. This is how PoP Project helps maintain versions of documents by their time stamp.
Upload a link
- Click on the 'Or, Add A Link' link to upload a link
- Provide the link's name and full URL including "http://"
- Click 'Submit'
- Add a statement to help identify the document
Download a document or web link
- Click on the 'Download' link of a document or web link to download it
Teams have to download documents so as to be able to work on them. Downloaded documents are saved locally, and need to be uploaded again.
Delete a document or web link
- Click on the 'Delete' link of a document or web link to delete it
Communicate with the team
The project hosts its own conversation. Each task hosts its own conversation. These are like chats, but very focused to the tasks they are attached to.
- Go to the Wall tab
- Enter a comment and submit (you can enter HTML also)
- The comment appears on your Wall, and is also emailed to your email id
- You can respond to the comment on the Wall, or from your email (even through iPhone, BlackBerry, and other smart phones)
PoP Project will also recognize you from any alternative emails on your profile, when you reply to wall comments. However, we will send our communication to the primary email with which you signed up. This can help you if you have grouped or aliased multiple email ids into one.
Schedule reminders
You can place reminders for yourself or others.
Set a reminder
- Go to the Reminders tab
- Enter the email id of the person you'd like to set the reminder for
- Enter other details
- PoP Project emails the reminder as set
Remove a reminder
- Click 'Remove Reminder' in order to remove a reminder
Tutorial How to Set up your Profile
This tutorial is for all users of PoP Project. You can set your profile and customize PoP Project.
- Click the menu link, 'Profile'
Create display name
- Enter a name you would like to be displayed for you.
Add alternative emails
PoP Project will also recognize you from any alternative emails on your profile, when you reply to wall comments. However, we will send our communication to the primary email with which you signed up. This can help you if you have grouped or aliased multiple email ids into one.
- Provide your alternative email
Change your password
- Click the link, 'password'
- Supply the old and new passwords, and save
Select your avatar
PoP Project shows your image along with your email id. It gets the image from Gravatar.
- Click on the link, 'avatar'
- Follow directions to attach your image
